Position Summary:

The Administrative Assistant role provides administrative support to the Firm's Consulting/Sustainability department, as well as supporting Firm Partners.


Responsibilities
:

  • Updating opportunities in CRM, Symphony
  • Taking meeting notes and updating CRM accordingly
  • Scanning and printing
  • Updating VPM software system with project statuses or staff additions/changes
  • Updating Monday.com boards for each phase of active projects
  • Drafting and tracking Statements of Work (SWs)
  • Updating Bill.com monthly invoices
  • Generating reports in CRM, VPM software, and Monday.com
  • Scheduling internal/external meetings and as needed
  • Outlook Calendar management
  • Provide excellent internal and external client service in-person, via phone and email
  • Scanning documents to electronic database as well as QC of scanned files
  • Assisting Partners and staff with additional projects such as updating Excel spreadsheets, event preparation/coordination, expense report submission
  • High school diploma or equivalent
  • 2 years of Administrative Assistant experience
  • Professional Service industry (i.e. CPA firm or Legal) experience a plus
  • Tax software (CCH ProSystem fx Tax, CCH Axcess) experience preferable
  • Ability to efficiently work both collaboratively and independently in a remote/office environment
  • Strong attention to detail
  • Self-motivated, confident, energetic, and positive
  • Advanced computer skills and use of MS Office
  • Ability to work overtime when needed, including weekends during busy season (January - April)
  • Must be able to work in a fast paced, high-pressure, deadline driven environment
  • Ability to multitask and willing to take direction
  • Ability to prioritize workload efficiently using excellent time management skills
  • Solid Interpersonal and organization skills
  • Courteous and professional written and verbal communication skills

Compensation Range: $24.00 - $30.00/hour*
