Position Overview


The Illinois Department of Commerce and Economic Opportunity (DCEO) is looking for a professional administrative assistant to support the workforce development team in Chicago. The Administrative Assistant 2 will work under the general direction of DCEO’s Office of Employment and Training (OET) management team to assist with the implementation of state workforce projects. The ideal candidate will be able to organize information, coordinate meetings, process travel and timekeeping requests, draft basic correspondence and presentations, review documents and assist in the overall operation of the office. Job Responsibilities

1. Under general direction of the Program Development Division Manager, serves as confidential staff assistant performing a variety of sensitive and controversial non-recurring staff functions for the assigned manager(s).

2. As a confidential staff assistant, conducts confidential studies and investigations of problems pertaining to office functions and administrative issues.

3. Develops plans for the effective utilization of resources for all the office’s functions.

4. Prepares documents and reports as necessary under the direction of management for senior staff.

5. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1. Requires knowledge, skill and mental development equivalent to the completion of four (4) years of college, preferably with courses in public or business administration.

2. Requires two (2) years of professional experience in a public or private organization.


Preferred Qualifications

1. Prefers two (2) years of experience in analyzing and evaluating complex problems and develop and implement effective solutions, to interpret agency policy and procedures and to explain clearly and concisely problems and solutions.

2. Prefers two (2) or more years of experience in organizing and coordinating assignments or projects with federal, state, or local agency partners.

3. Prefers two (2) or more years of experience in working with supervisors and team members in writing, organizing, and reviewing a variety of written reports.

4. Prefers two (2) or more years of experience in using communication skills to engage with staff and partners in a variety of settings.

5. Prefers two (2) or more years of experience in using technical skills in Microsoft Office Suite (word processing skills, spreadsheet skills, database skills, electronic presentation skills), web navigation skills, e-mail management skills, and electronic file storage.
